Services and results

What exactly does AI for Business do?

We analyse SMEs' office processes and use artificial intelligence to automate repetitive tasks: booking invoices, entering orders, quotes, emails, phone calls and searching documents. We handle the analysis, development and go-live, working with the tools the company already uses.

Which processes can be automated in an SME?

Repetitive ones, with clear rules and steady volumes. The most common:

  • reading and booking supplier invoices;
  • entering orders received by email or PDF into the ERP;
  • draft quotes based on the customer's request;
  • sorting emails and first replies to recurring questions;
  • answering the phone at peak times and outside office hours;
  • reports and KPIs that update themselves;
  • finding information in manuals, contracts and procedures.
Does artificial intelligence replace employees?

No. It removes the copying, checking and sorting; people review the exceptions and focus on higher-value work, such as customer relationships. In practice it mainly helps handle workload peaks without overtime or new hires.

Does it make sense for a small company too?

Yes, if there is at least one process that takes up several hours every week. Even 3-4 people in the office are enough: what matters is the time spent on repetitive tasks, not the size of the company. The automation level calculator gives you a first indication in 3 minutes.

How is this different from employees using ChatGPT?

ChatGPT used individually helps a single person write or summarise. We bring AI into the process itself: it reads incoming documents, enters data into the ERP, applies checks and logs every operation, with data access rules set by the company.

Costs and timelines

How much does it cost to automate a process?

It depends on the process, the volumes and the systems to connect: that is why we set the price after the analysis, with a fixed-price proposal. We follow one rule: we only propose a project if the investment pays for itself through time saved within 6 months. If the numbers don't add up, we tell you.

How soon do you see results?

A first process usually goes live a few weeks after the project starts; the exact timeline is stated in the proposal. Savings are measured from the first month, by comparing times before and after.

How do you calculate the return on investment?

We measure how long each case takes today (for example an invoice or an order) and multiply it by monthly volumes and the hourly cost. If you have no internal figure, we use CHF 33 an hour. The result is the monthly value of the time recovered, which we compare with the cost of the project.

Are there recurring costs after the project?

There may be usage costs for AI services and hosting, which depend on volumes, and possibly a support contract. We list them in the proposal separately from the project cost, so the return calculation already includes them.

Is the initial consultation really free? What happens next?

Yes. In 30-50 minutes we look at how you work, identify the most suitable processes and give you an initial estimate of the time you could recover. If there is a concrete opportunity, we propose the next steps; there is no obligation to continue.

Integration and technology

Do we need to change our ERP or software?

No. We work with the ERP, email and files you already use, through interfaces, exports or dedicated mailboxes. If your data is mostly in Excel today, the first step is to structure it: automation can start right there.

Do we need an in-house IT department?

No. You need a contact person who knows the process and can spend a few hours with us during the analysis and testing phases. We take care of the technical side.

Which artificial intelligence models do you use?

We don't tie ourselves to a single provider: we choose the model for the task, because some perform better on text and others on analysing data and figures. When data must not leave the company, we use models running on dedicated or in-house servers.

What happens if the AI makes a mistake?

Every automation has checks: confidence thresholds, human review of doubtful cases and an operations log. At first a person checks everything; checks are reduced only once results are stable and measured.

What is an AI agent and when is it worth it?

It is an assistant that carries out a task independently, within precise rules: it answers recurring emails, handles a phone call, takes a request and records it in the ERP. It is worth it when requests are numerous and similar, and when customers also call outside office hours. More details.

Training and coaching

Who are the AI training courses for?

For business owners, managing directors and department heads (administration, sales, operations) who need to decide how to use artificial intelligence in their company. No technical skills are needed: we start from your business and your real cases.

What does the dedicated coach do?

They are your point of reference throughout the programme: they help you define goals, choose the right tools for your business, put them into service and use them with your team. They work on your documents and your processes, not on generic examples.

Are the courses online or in person?

Both. We offer online webinars with practical exercises, in-person sessions and tailored programmes for a single company or a group. The offer is defined according to duration, required level of preparation and number of participants.

How much does the training cost?

We don't have a single price list: the offer is defined according to duration, required level of preparation and number of participants. After a first free conversation we send you a written proposal with costs and programme.

Will we still need your help after the training?

That's up to you. Some companies work independently with the chosen tools after the programme; others ask us to automate one or more processes. In that case our rule applies: we only propose projects that pay for themselves within 6 months.

Data and security

Where does our company's data end up?

You decide. We offer three options: a dedicated cloud, hardware bought by the company and hosted in a data centre, or small servers at your premises. The choice depends on how isolated the data must remain from external services. How we protect data.

Do the solutions comply with the new Data Protection Act (nFADP)?

We design them in line with the nFADP and, for companies working with the European Union, the GDPR: we process only the data needed, define who can access it, choose providers with adequate contractual guarantees and document where it is processed.

Is our data used to train AI models?

No. We use professional services and configurations in which the data sent is not used to train models, or models installed on dedicated servers.

Getting started

How do we start a project with you?
  1. Take the automation level test or book the free consultation.
  2. We analyse the chosen process and measure the current times.
  3. We present a proposal with costs, timelines and expected return.
  4. We develop, test with you and go live.
  5. We measure the actual savings and decide the next steps together.
What do we need to prepare for the consultation?

Just a little information: which tasks weigh on you the most, monthly volumes (invoices, orders, emails, phone calls), the tools you use and a few sample documents. If you don't have exact figures, we estimate them together.

Do you only work in Ticino?

We are based in Chiasso and work with companies across Ticino, with in-person meetings. For companies in the rest of Switzerland we also work remotely, in Italian, German or English.

Do you offer support after go-live?

Yes. We monitor the automation in the first months, adapt it when processes change and, if needed, extend it to other tasks. Support terms are set out in the proposal.
