Process automation

Business process automation with artificial intelligence

Invoices, orders, quotes and data handled without retyping: AI reads the documents, enters them into the ERP and leaves people to check the exceptions.

What you get

Tasks that today require reading a document and copying its data are carried out by AI. People only check doubtful cases. The result: fewer hours of manual entry, fewer transcription errors, cases processed the same day.

Processes we automate most often

Supplier invoices

Invoices arrive by email or PDF; AI reads supplier, amounts, VAT and due dates, matches them with order and delivery note and prepares the booking in the ERP. Discrepancies are flagged to a person.

Customer orders

Orders received by email, as PDFs or free text are recognised, checked against master data and price list and entered into the ERP, with an order confirmation ready to send.

Quotes and offers

From the customer's request, AI prepares a draft quote with items, quantities and list prices. Your salesperson checks it, completes it and sends it.

Data between email, Excel and ERP

Reminders, status updates, periodic reports: data moves from one system to another without copy and paste and stays aligned.

Repetitive content

Product pages, technical descriptions, standard replies and newsletter texts drafted from your data, always with a final review by a person.

Typical example. An administration office booking 400 invoices a month at 4 minutes each spends about 27 hours a month on data entry alone. If automation handles most of them, the time is reduced to checking exceptions. We calculate the exact value on your volumes.

How the project works

  1. Analysis: we collect real sample documents and measure current times.
  2. Proposal: costs, timelines and expected return, with the 6-month rule.
  3. Development and testing: the automation is tried on real documents, with the people who will use it.
  4. Controlled launch: at first a person checks everything; checks are reduced once results are stable.

What we need from you

  • A contact person who knows the process
  • 20-30 sample documents (invoices, orders, requests)
  • Access to the ERP or the ability to import data

FAQ

Which processes can be automated in an SME?

Repetitive ones, with clear rules and steady volumes. The most common:

  • reading and booking supplier invoices;
  • entering orders received by email or PDF into the ERP;
  • draft quotes based on the customer's request;
  • sorting emails and first replies to recurring questions;
  • answering the phone at peak times and outside office hours;
  • reports and KPIs that update themselves;
  • finding information in manuals, contracts and procedures.
How soon do you see results?

A first process usually goes live a few weeks after the project starts; the exact timeline is stated in the proposal. Savings are measured from the first month, by comparing times before and after.

Do we need to change our ERP or software?

No. We work with the ERP, email and files you already use, through interfaces, exports or dedicated mailboxes. If your data is mostly in Excel today, the first step is to structure it: automation can start right there.

What happens if the AI makes a mistake?

Every automation has checks: confidence thresholds, human review of doubtful cases and an operations log. At first a person checks everything; checks are reduced only once results are stable and measured.
